The Challenge

The work was real, the picture was not

A service business does not lack information — it lacks one place to see it. Quotes in a mailbox, jobs in a calendar, invoices in an accounting tool, and the truth somewhere between all three.

The brief was one screen that tells a manager what is happening today, without asking anybody to change how they already work.

The Approach

How we worked

  1. Model the job, not the department

One record follows a job from enquiry to payment. Departments became views of that record rather than separate systems each holding their own copy.

  2. Default to today

The product opens on the current day's work. Reporting, history and configuration are deliberate detours rather than the landing screen.

  3. Make late things loud

Status is a visual property of the board, not a column to sort by. An overdue job looks overdue before anybody reads a word.

  4. Import before onboarding

First run assumes existing data and messy spreadsheets, because that is what every real migration actually looks like.

The Solution

One board, one record, one truth

The board is the product. Jobs move across it as their state changes, and every card carries enough detail to act on without opening it.

Quoting and invoicing hang off the same record, so a job that was quoted, done and billed leaves one history rather than three disconnected ones.

Inside the product

What it actually does

The Outcome

What it settled

  • One record carries a job from enquiry through to payment
  • Overdue work is visible without filtering or sorting
  • Scheduling shows capacity before assignment, not after
  • Migration assumes existing messy data rather than a clean start
